Four Ways to Help New Providers Feel Welcome at a New Practice

Starting a new job is always an adventure. For physicians, this often means starting at a new practice or office. Making a smooth transition from training into your first practice is crucial for new medical providers. If they feel welcome and supported, they will likely stay with the practice long-term.

If you are a provider who has recently joined a new practice, or if you are the manager of a practice welcoming new providers, we have four tips to help make the transition as smooth as possible!

1. Introduce them to everyone on their first day.
One of the most important things you can do is introduce the new provider to everyone on their first day. This includes office staff, nurses, and other providers. If possible, have a short introduction meeting where everyone can say hello and introduce themselves. By introducing the new provider to everyone on their first day, you will help them feel more welcome and comfortable in their new environment.

2. Show them around the office and explain how things work.
Another essential thing to do is show the new provider around the office and explain how things work. This includes showing them where everything is, how to use your practice's choice in electronic health record (EHR) software, and what the practice’s policies are. When training a new provider on an EHR platform, make sure you ask about their past experiences with other programs and whether they have used your choice EHR before. It would help if you also spoke with your EHR provider about the options of having them train your new hires for you. By taking the time to show them around and taking time to familiarize them with your practice's technology programs, you will help them feel more comfortable and confident.

3. Give them a mentor who can help answer any questions they may have.
One way to help new providers feel welcome is to assign them a mentor who can help answer any questions they may have. This person could be someone who has been with the practice for a long time and knows how things work. They can help show the new provider around, introduce them to people, give a basic environment overview, and answer any questions they may have about the practice's daily operations, and how to troubleshoot when there are issues. Having a mentor will help the new provider feel more comfortable and confident in their new role.

4. Make sure they have everything they need to do their job effectively.
Last but not least, you want to ensure the new provider has everything they need to do their job effectively. This includes having a well-stocked workstation, access to all necessary supplies, and clean and comfortable office space. You also want to ensure they have the contact information for all the people they will need to be in touch with daily, such as office staff, nurses, and other providers. By ensuring they have everything they need to do their job effectively, you will help them feel more prepared and confident in their new role. Their success starts by having the right tools for success.

There are plenty of other ways to welcome a new provider to your practice, but we have found that these core four set a solid foundation for the providers to feel welcome, appreciated, and prepared.
